Managing Company Profiles in BIR Online Tools: Add, Edit, Switch, and Delete

Managing company profiles in BIR Online Tools means adding, editing, switching between, and — when needed — deleting the client or entity records that pre-fill every DAT generator and certificate builder. Accountants who file for multiple clients, or businesses tracking more than one registered entity, do this from the same Company Info module used to add the first company.

Once a second company is saved, the List Companies page becomes a working switcher rather than a single-row confirmation screen. Each row shows the company name, TIN, branch, city, and plan badge, with an Active badge on whichever one currently pre-fills your forms — and an Activate button on every other row so you can change it in one click.

The worked example above adds a second, unrelated business — a fictional sole proprietorship, Dela Cruz Consulting Services — alongside the corporation from the getting-started guide, to show what a multi-company list actually looks like.
How do you add a second (or third) company? #
Adding another company uses the exact same Add Company form covered in getting started — click Add Company from the company list or the dashboard, fill in the new company’s TIN, classification, address, and RDO code, and save. There’s no limit enforced in the Company Info module itself; the list simply grows by one row per company.
How do you switch the active company? #
Click Activate on any row that isn’t already active, or use the company switcher at the top of the sidebar, which shows the current active company’s name and TIN and opens a dropdown of every saved company when clicked. Switching is immediate — no confirmation step — because it only changes which profile pre-fills forms, not any saved data.
How do you edit a company’s details? #
Click the pencil icon in a row’s Actions column to open Edit Company, pre-filled with everything on file. Most fields stay editable, but the TIN and branch code are locked (shown greyed out) because certificates and DAT files already generated for that company reference those two identifiers directly — changing them after the fact would break that link.

Update the fields that changed — a new address after an office move, a corrected RDO code, a switch from calendar to fiscal reporting — and click Save changes.

How do you delete a company profile? #
Deleting a company is deliberately harder to trigger by accident than any other action in Company Info. Click the trash icon in a row’s Actions column, and a confirmation dialog opens naming the company and warning that the action cannot be undone — but the Delete button stays disabled until you type an exact confirmation phrase.

Type DELETE DATA exactly as shown into the confirmation field — only then does the Delete button become clickable. This friction is intentional: a single misclick on the trash icon can’t destroy a company profile, only a deliberate, typed confirmation can.
Before you delete #
- Download or export any DAT files or BIR Form 2307 certificates you still need — see managing saved DAT files — since the in-app record for that company disappears with it.
- Confirm you’re deleting the intended company; the dialog names it, but with similar company names on file it’s worth double-checking the TIN in the row before clicking the trash icon.
- If the company you delete is the active one, BIR Online Tools falls back to another saved company (if any) as active, or prompts you to add one if none remain.

How many companies can I add to BIR Online Tools? #
There is no fixed limit in the Company Info module itself — you can add as many company profiles as you manage, which is why the app supports accountants handling multiple clients from one account.
How do I switch which company is active? #
Open Company Info’s company list and click Activate on any company that isn’t already active, or use the company switcher at the top of the sidebar — the active company changes immediately and every form re-pre-fills from it.
Can I change a company’s TIN after saving it? #
No. The TIN and branch code become read-only once a company is saved, because certificates and DAT files already generated for that company reference those identifiers directly.
What happens if I delete a company profile? #
Deleting a company permanently removes its profile and is not reversible from the app. BIR Online Tools requires you to type the exact confirmation phrase DELETE DATA before the Delete button becomes clickable, specifically to prevent an accidental click from destroying records.
Does deleting a company also delete its saved DAT files and certificates? #
Deleting a company profile removes the company record itself; DAT files and certificates already downloaded outside the app are unaffected, but you should export anything you need before deleting since the in-app record tied to that company is gone.
